ISt. Philip's Episcopal Church166 Goodell StreetMinutes of the Vestry Meeting held onSunday, Dec. 9, 1973 - Attendance attached.The meeting was called to order bySr. Warden James Parks. He asked Mrs. Geneva Scruggs totake the minutes. The minutes of the meeting held Nov. 4,were read and after the following correctionsthey were adopted-Corrections: 1) [crossed out: St.] Dean Smith's suggestion was thatSt. Philips join with the Deanery and notthe Diocese for the Every Member Canvas.2) The reference to Fr. Griffith was that he hadasked to be permitted to continue to occupy the rectoryuntil arrangements have been made for[crossed out: the] his relocation in a rectory to beprovided by St. Michaels and All the Angels.[*Communications AttachedDiocese re:1974 Pledge -Nursing Home MinistryRe: Dinner DanceLutheran MinistryRe: Property 222 Northland Ave.*]The Agenda was expanded to include theseitems:1- Building Fund Report: Robt. Edwards2- Miss Hunter re: Advent + Lenten Programs3- Report from Organization Committee4- Report of the Parish Meeting5- Discussion of Christmas Letter toParishoners6- Bylaws - Committee to be appointed7- Nominating Committee reporting firstto the Vestry8- Structuring of the Parish Meeting tobe done by the Vestry.IIIt was moved by Mr. Edwards + seconded byMiss [crossed out: Rob] Josephine Hunter that these items beacted upon under "New Business". Carried.Warden's Report:1) Request from Priest-in-Charge for newbooks - Green Liturgy and The New Testament.2) Final Papers from the Urban Renewal3) Sale of St. Clements to st. Philpis - Paperssigned by Willard Morse as clerk ofthe vestry with $1000.00 borrowedfrom the Memorial Fund used asdown payment.4): Contract for organ repair:$890.00 paid as binder to contract$3560.- paid when the organ is removed$4000. plus balnace due whenorgan is installed on Sussex.5) Receipt of a letter from Mrs. Erma S. Clarkagreeing to arrange for the last services andreception at 166 Goodell and askingfor "go ahead" authorization. The Wardens recommended grantingthe authorization. She asked that Fr. Curry and Fr. Woodruff be sent letters.6) Thanked Miss Josephine Hunter fortelephone - mailing blitz for LoyaltySunday. (Nov. 25, 1973)7) Travel expense has been providedfor two candidates for the rectorship-IIIFr. John Mason + Fr. Donald Taylor in theamt. of $631.00 (plus). There will be arefund from Fr. Mason as he wasable to get air passage more cheaplyover another line.8) Diocesan Pledge. Urgent htat weact on this at once.Vestryman Godfrey moved the acceptanceof the report with Mr. Edwards giving thesecond to the motion. Motion Carried.Discussion followed on the matterof the New Liturgy Books + Good News forModern Man (New Testament0.Discussion was engaged in by Mrs. RuddMiss Hunter, Misses Godfrey, Edwards, + Mrs. Wing.Each discussed his feeling for the needfor uniformity and the opportunity for participationby the Congregation.Mr. Edwards uggested getting Mimeo Copieof one service or defer the experimentuntil books can be ordered. Mrs. Wingmentioned the difficulty of tryingto incorporate the high service into thenew liturgy.Mr. Edwards spoke to the need for thisparish to resolve the inclinationbetween high + low services.Mr. Godfrey suggested that we suggest one MassIVeach Sunday from the Green Liturgy.The Wardens will work on resolving thematter and Miss Josephine Hunterassumed responsibility for having 100copies of the new service made.[*Property Sale*]Mr. Morse stated that we would have 60 days after closing before rentstarts. The rent will be possibly 3%of the sale price.Mr. Godfrey suggested that in the futureadvances and loans for whatever purposebe taken from one account, mostrealistically the Building Fund, to be replacedafter erceipt of money from sale of 166.Discussion relative to moving the organbefore bids were secured.Miss Hunter moved, (seconded) that Mr. Edwardsproceed to get bids and whatever elseis necessary to get the organ repaired, movedand reinstalled. Motion carried.Miss Hunter was thanked for the effective lastminute drive for membership attendance on 11/25and Warden Parks asked her to make suggestionsfor continuing plans and projects to reactivatemembers.Suspended the agenda to hear Supt. KennyGreen of the Church School. He spokeof plans for reorganization and forVworking with Dr. Warren Lane, Dir. ofChristian Education for the Diocese in anattempt ot re-structure the church schoolprogram. He was exhorted to proceedwith his plans.[*Agenda resumed*]By motion made by Miss Hunter, secondedand carried Mr. Robt. Edwards was authorizedto check out the cost of organ rental forseveral weeks.Report from the Committee on Organizationof the Vestry.Report given by chairman Robert Edwardswho stated that the committee hadlooked at areas of need and feels thatthe report is a big step toward correctingmany of the problems of inefficiency, lackof detail and disorganization that haveexisted in the past. (Full report attached)Mr. VanLandingham moved that the report he receivedand that action on it become the firstorder of business at the Jan. Vestry Meeting.Motion seconded by Mr. Laughton Thomas. Much discussion on thequestion and the motion was withdrawn.Moved by Miss Josephine Hunter that thereport be accepted and put into actionimmediately, subject to periodic review.Motion seconded by Mr. Willard MorseVIand carried.Vestrymen immediately indicatedthe committees that they wouldlike to chair under the neworganization: They are - Committee on Organization Robt. Margorie RuddPersonnel Wm GodfreyA list of all committees and a copyof the report will be mailed to all chairmen.The Budget Committee reported aprojected budget of $38,046.48 for 1974.(Copy of full budget attached).$3000.00 was the amt. pledged to the DioceseVestryman Laughton Thomas moved (Miss Hunterseconded) the adoption of the budget.Motion carried unanimously.Report from Mrs. Mildred Coleman onthe Dinner Dance held 12/29/72 showinga balance on hand of $73.00. Nomoney accompanied the report. Mr.Thomas moved that the partial reportVIIbe held in abeyance pending completion,Completion being the remitting to the treasurer the$73.00. Motion seconded and carried.The warden was directed to have aletter sent to Mrs. Coleman asking herto complete her report by making theremittance.Miss Hunter returned $4.75 balance leftfrom the $30.00 given to her for Loyalty Sun.mailing + copying. She also stated thatshe would make a report on thespecial meeting with Fr. Carr at a laterdate.Mr. Godfrey asked for the immediatecompiling of the lists of "To be moved" and"not-to-be-moved" items.Mr. Morse stated that many parishonerswere inquiring abou the presence ofFr. Mason here today. It was suggested that a lettergo out to parishioners stating that he isonly a candidate for the rectorship.Miss Hunter spoke re: the comments of thePriest-in-charge and the Advent andLenten programs. The Vestry directed theWardens to advise the priest-in-chargeto continue assuming all priestly duties.The Sr. Warden was asked to contactthe following named persons inVIIIan attempt to get three to serve onthe Deanery Lenten Program Committee:Ms. Helena Lee, Mr. Fred Anderson,Mr. Addison Hinton, Mr. Bert Alston,Mrs. Mary Meadows, Mr. + Mrs Epps.Mr. Godfrey gave 5.00 toward theChristmas Bulletin cost.Remarks by Vestryman Geneva B.
